    GENERAL FUNCTION: Operating within the policies of the YMCA of Greater Des Moines, this position is responsible for assisting the Executive Director and Program Directors at the Wellmark YMCA by providing clerical and administrative support. This position will also assist with management of the rentals for the facility.

    Responsibilities

    ESSENTIAL FUNCTIONS:

     

    1. Clerical and Administrative Support

    • Serve as the branch payroll specialist, assisting supervisors with process as needed.
    • Manage branch daily deposits, purchase orders, petty cash and other business related processes.
    • Manage supplies including ordering, tracking, distribution and budget development and management.
    • Process incident/accident reporting in accordance with association procedures.
    • Support leadership staff by assisting with program promotion, general communications and data entry as required.
    • Assist with Board Management (Board Meetings, Minutes, Logistics, etc.)
    • Support branch staff as needed.
                 

    2.  Annual Campaign Support

    • Serve as branch point person for campaign computer software.
    • Manage data entry, review and information clearing/retrieval.
    • Create communication documents and manage the distribution to appropriate audiences.
       

    3.  Rental Manager

    • Manage all Rentals for the Wellmark Y Branch Facility
    • Assist in managing the Rentals for the Pool at the Wellmark Y Branch
    • Manage all logistics for vendors and rental customers
       

    4.  Perform additional duties as assigned by supervisor or designated staff 

         person.

     

    5.  Demonstrate and support the objectives of the Association as embodied in

         the mission statement and values.

    Qualifications

    QUALIFICATIONS:

    • Completion of high school/high school diploma or equivalent
    • At least two to three years of administrative experience in a professional work environment
    • Demonstrated customer service skills
    • Demonstrated proficiency in clerical and administrative support functions
    • Demonstrated working knowledge of Microsoft Office software programs
    • Demonstrative working knowledge of basic accounting principles

     

     

    PHYSICAL REQUIREMENTS:

    While performing the responsibilities of this position, the employee is required to talk and hear.  The employee is often required to sit and use their hands and fingers, to handle or feel.  The employee is occasionally required to stand, walk, reach with arms and hands, lift up to ten pounds of weight, climb or balance, and to stoop, kneel, crouch, or crawl.  Vision abilities required by this job includes close and distance vision.

     

     

    WORK ENVIRONMENT:

    The noise level in the work environment is usually quiet to moderate.  This position usually works in an office environment, but the mission of the organization may sometimes take them to non-standard workplaces.  This position works a standard work week, but additionally will often work evening, weekend, and additional hours to accommodate activities such as Board meetings and events.
